Office Specialist

We are looking for a proactive and experienced Office Specialist to join our Berlin team. In this part-time, permanent role, you will help keep the Berlin office welcoming, functional, and well-organized.

Responsibilities
- Overseeing daily office operations, including facility maintenance, inventory management, and restocking
- Managing office access for employees and maintaining up-to-date records of office access rights
- Handling incoming packages and mail, including receiving, sorting, scanning, and distributing documents or deliveries as needed
- Assisting employees with office-related requests and contributing to the overall office setup and improvement strategy
- Setting up and supporting onboarding and first-day welcome of Metacoreans
- Coordinating with vendors to order lunches, beverages, and office supplies
- Organizing internal and occasional external events, team lunches or dinners, farewell cakes, seasonal celebrations, decorations, and snacks
- Shaping and implementing office ways of working in Berlin, in collaboration with the Helsinki office team, to ensure consistency and a great employee experience across locations
- Coordinating with external vendors on facility-related matters and ensuring the office complies with all relevant health and safety requirements
Requirements
- Previous experience in a similar role involving office administration
- Proactive, hands-on approach and willingness to take initiative
- “Can-do” attitude – able to find solutions independently when possible
- Fluent communication skills in both German and English
- Friendly, approachable personality and good collaboration skills
- Ability to adapt to changing situations and balance multiple small tasks
- Reliability and efficiency, including motivation to handle repetitive tasks
In addition to these, it would be nice but not mandatory for you to have some of these as well:
- Studies in hospitality, service, or a related field
- Interest in improving ways of working and suggesting new ideas

Basics
- Location: Berlin, Germany
- Relocation: You must be eligible to work in Germany, as this role does not include relocation support
- Job type: Part-time, permanent employment
- Working hours: You will work 40–60% of a full-time schedule (approximately 16–24 hours per week), with the exact hours to be agreed upon together
- Work model: Onsite from Metacore’s Berlin office
- Working language: English (company language) & German
